East Coast Camper Trailer Hire Terms and Conditions




Bookings and cancellations

Bookings

A temporary booking can be made by phone, email or internet which will allow the camper trailer or equipment item to be held in the name of the hirer for a period of 48 hours.

Deposit

For bookings made more then 28 days prior to the hire date, a Deposit of 50% of the total  hire cost is required to secure all bookings in the name of the Hirer.   Bookings are not confirmed until a 50% deposit is paid. Hire bookings made within 28 day of the hire date require payment in full to secure the booking in the name of the hirer.

Final Payment

Payment of all outstanding hire fees are required to be made in full 28 days prior to departure of the hire period.    All Payment can be made by cash payment or payment by Bank direct debit. If payment is made by direct debit, Account details will be supplied and funds must be cleared before hire.

Security Bond

A Security bond of $600 is to be paid prior to the time of collection of the camper. The Bond shall be paid by cash or bank Direct debit. Direct debit funds must be cleared funds into the provided account 5 working days before the hire period.  Cash payments of the Security bond can be made in full of the day of hire. Camper trailers or hire equipment will not be released without payments made. 

The Security Bond covers, but is not limited to, incidental damage, insurance excess, loss of equipment and excessive cleaning costs.  The Security Bond will be refunded to the hirer within seven (7) days from the return of the camper in a satisfactory condition.  If any damage does occur to the Camper Trailer depending on severity, part of or the entire Security Bond shall be retained at the discretion of East Coast Camper Hire until all expenses are finalised and or recovered.

Cancellation

Cancellation of booking with more than 60 days notice prior to the hire period will entitle the hirer to transfer the Deposit to an alternative hire period, or refund of the Deposit in full.  Cancellation of booking between 60 days and 28 days prior to hire period will forfeit the 50% Booking Deposit. Any cancellations with less than 28 days notice will forfeit the complete Booking deposit in full.  If the Hirer transfers the Deposit to an alternative period, rates applicable to the new hire period will apply.

If the Item is not picked up for any reason the full amount of the payment will be forfeited by the hirer with Security Bond returned in full.

If the camper trailer or equipment hire is not available on the date of hire for whatever reason or condition outside the control of the East Company, then the Company shall if possible substitute a similar Camper Trailer or equipment and, if that is not possible, will notify the Hirer immediately as such condition becomes known and refund the full deposit and other monies, if any, paid by the Hirer. There shall be no further liability on the Company other than to make such refund. 

On the date of hire (pickup)

The Hirer/ Driver

Minimum age of hirer/driver is 25 years of age and must hold a current Australian Motor Vehicle Driver’s License.

At time of pick up 100 points of identification must be presented, these will be copied for insurance purposes. At least one of these forms of identification must have the hirer’s current address.

The hirer will not at any time while towing, be under the influence of alcohol or of any drug. 

The Hirer must ensure that the trailer is not used for any illegal purpose or in any race or speed test or for the conveyance of any excessive loads or inflammable, corrosive or explosive material or in any way which would breach a condition of registration of the trailer.

East Coast Camper Hire may refuse hire to persons who do not meet their requirements, who are under 25 years of age, who do not have a current driver’s license and full comprehensive insurance on towing vehicle. 

Definition of "Driver" — means the driver of a motor vehicle used to tow the Camper Trailer and includes any substitute or alternate driver including the Hirer.

Inspection

Inspection is invited on the day of hire to ascertain any marks or damage before camper trailer is towed away. Thereafter any damage will be deemed to have been caused by the hirer and as such will incur costs for repair to the Company.

Whilst all trailers are fitted with a 50MM tow ball, a standard flat seven pin plug, it is the Hirer’s responsibility to ensure their vehicle is compatible prior to pick-up. There will be no refund/s where the hirer has not taken on this responsibility. It will be at the cost of the hirer to prepare these items 

The Hire Period

Damage during the hire period

The hirer agrees that East Coast Camper Hire and any of its known affiliates are not accountable for any costs incurred to the hirer as a result of damage to or theft of the Camper Trailer or any equipment during the hire period. 

It is the responsibility of the hirer to exercise care of the Camper trailer and equipment while in their possession. Any damage occasioned outside wear and tear is to be effected by the hirer or the costs adjusted against the security bond. 

Tyres and Punctures

Tyres, punctured, blown or shredded, are to be replaced prior to returning. Any tyre and or rim repair or replacement is the responsibility of the hirer. Any tyre or rim replacement must be of the approved type and carried out by a qualified repairer. THE HIRER MUST contact East Coast Camper Hire on 0418 270 025 before replacing any tyre.

Damaged or broken items

Any items broken or faulty can be repaired in transit by a qualified repairer with the hirer being reimbursed up to $100.00 without authority. Globes, elements and the like can be fixed without reference. Receipts need to be produced on return of hire. Loss or damage of any sort must be reported to East Coast Camper Hire on 0418 270 025 before any repair/replacement can be authorized.

Accidents or Breakdowns

Should an accident or breakdown occur, notify East Coast Camper Hire as soon as possible on 0418 270 025.  Any damage of any sort should be reported to the local police and a report obtained. The hirer shall obtain all particulars of any other vehicle or persons of malicious damage or theft, etc.  It is the hirer’s responsibility to get the camper to a safe place whilst repairs are undertaken to the tow vehicle or the Camper trailer. It is recommended that you refer to your insurer, for coverage in the event of an accident.

To the extent permitted by law, the Company (East Coast Camper Hire) shall not be liable for any expenditure, damage, loss or inconvenience incurred by the Hirer arising out of any breakdown to the Camper Trailer whether caused by fair wear and tear or any reason whatsoever.  Costs such as accommodation, meals, flights, car hire, phone calls, or any other costs incurred are at your expense.

In the event of an accident requiring claim against the company’s insurance, the Security Bond will be forfeited, if another party is at fault the Security Bond will be retained until the insurance claim is settled and claim paid in full.

Details of other Parties

In the event of an accident involving another vehicle, the Hirer is required to obtain; the registration, make, model & colour of the other vehicle. The name, address and drivers license details of the other party involved; the name and address of any witness and forward these details to the Police & East Coast Camper Trailer.

The Hirer indemnifies East Coast Camper Hire of all damage to persons & property in relation to the Hirers use and control of the Camper Trailer.

Specifications and restrictions

A vehicle may tow a laden trailer up to one and a half times the unladen mass of the tow vehicle, provided that the tow bar is rated accordingly. 

The Camper Trailer is not to be tampered with modified or altered in anyway. This includes repairs and maintenance conducted by an unauthorised repair agent. 

There is to be nothing hard or sharp stored in the Camper Trailer when it is closed or erected that may mark or damage the canvas or interior.

General Housekeeping

Canvas material is only to be wiped or cleaned with a soft cloth and clean water. Cleaning chemicals and abrasive cloths are not to be used.

Additionally abrasive sponges, cloths and chemicals are not to be used on any surface.

No LPG gas heating or cooking equipment to be used inside the camper trailer.

No smoking or pets are allowed in the Camper trailer

Weather and Road conditions

"light off road" includes access to bitumen road, major unsealed roads, and light dirt access roads of camping areas and national parks. This applies to CUB Supermatic XTD Trans Continental, Regal and Escape models. 

Camper trailers are not to be taken across swollen creeks or rivers.  Camper Trailers are not permitted to enter any region that is being or expected to be affected by extreme weather or a cyclone conditions.

When driving/towing a Camper Trailer weather conditions are the responsibility of the hirer and MUST be taken into consideration prior to embarking - wet roads, high winds, loose surfaces and steep descents will all affect towing ability.

When travelling on corrugated or unsealed roads a maximum speed of 60 km/h must be adhered to. 

Fines or Traffic infringements

Any fines or infringements will be the responsibility of the hirer during the hire period; this includes and is not limited to collision, parking, speeding or red light camera offences. 

Infringement notices received by East Coast Camper Hire which relate to your rental period of a camper trailer, or in the event an infringement notice is received, we will: 

Advise the relevant authority that you were responsible for the towing of the vehicle at the time of the infringement. The authority will issue the infringement notice to you for payment.

It is agreed by both parties (the Hirer and Company) that in the event that the Hirer delays or does not finalise fines or infringements with the issuing authority, any cost incurred by or to East Coast Camper hire in relation to the issue of, administration of and or dispute of the infringement will be recovered from the  Hirer by East Coast Camper Hire or an agent of East Coast Camper Hire, at a hourly rate of $88.00 (GST inc) per hour of administration, total of incurred costs plus an interest rate of 22% P/A from 21 days after the issuing date of the relevant issuing authorities reference date, on the original fine or infringement notice.  

Return of the trailer at the end of the hire period

Camper trailers must be returned to the agreed location by the agreed time on the agreed day (unless prior approval is provided).

Extension of the hire period

Extension of the hire period shall be made by prior arrangement before the return date. The extension of the hire period will only be made if the camper is not already booked by a third party and only by agreement of East Coast Camper Hire.  Any approved extension will be charged at the normal daily hire rates.

Early Return

Early return at the hirer’s choice for any reason what so ever will not be entitled to a refund.

Late returns

Any late returns will be charged at $150 per day unless prior extension approved.  If a late return of the Camper Trailer interferes with another booking, an amount equal to that of the effected hire will be recvered and or deducted from the hirer’s Security Bond.

Camper Trailer Recovery

If the Company has to recover the camper from any other location there will be an additional charge of $250 per day plus recovery cost.

The hirer agrees that East Coast Camper Hire or any representative nominated by them may under any circumstances whatsoever, are permitted without recourse to legal action, to enter onto the hirer’s premises, or premises where trailer has been parked, abandoned or left by the hirer or any person in the company of the hirer in order for the Company to resume possession of the camper trailer and equipment.

The return of the camper trailer is always at the expense of the hirer. This is not a component cost of the Security Bond/deposit.

Camper trailer Cleaning

The camper trailer is to be returned to the standard displayed at the time of the pickup, otherwise a cleaning fee of $50 per hour will be charged to a maximum of $500

No Smoking or Pets are allowed in the Camper Trailer. If cleaning is required the hirer will be charged a cleaning fee and an additional deodorizing fee of $200 (this is in addition to general cleaning charges)

Additional Charges

Whilst gas bottles are supplied gas usage is at the cost of the Hirer. The gas bottle can be returned full or charged at $4 per kilogram of gas used. 

The cost of any missing, broken, lost or substituted items will be deducted from the Security Bond.

If first aid kits are provided and the kit is opened a replacement cost of $45 will be charged for its usage.

Additional camping and travelling equipment

Additional camping and travelling equipment can be hired through East Coast Camper Hire. Additional equipment may require an additional Security Bond.  

It must be noted that Camping fridges and electronic devices come with a standard in car style 12 Volt connection outlets. It is the hirer’s responsibility to ensure their vehicle is compatible and wiring sufficient to handle power draw. Remember a camping fridge left running can flatten a car battery in a short amount of time. It is the hirer’s responsibility to ensure their vehicles battery is in good working order or use alternate power option or dual battery. Portable electronic devices remain the responsibility of the hirer for damage or theft until receipted as returned.

Acceptance of Terms and Conditions

THIS SECTION MUST BE SIGNED BY BOTH PARTIES AT TIME OF THE CAMPER TRAILER RETURN AS PROOF THE CAMPER WAS RETURNED TO THE NOMINATED LOCATION, IT IS NOT A GUARENTEE THAT THE CAMPER TRAILER IS IN A SATIFACTORY CONDITION FOR THE RETURN OF THE SECURITY BOND, THIS WILL BE DETERMINED AFTER FULL INSPECTION THIS MAY TAKE UP TO 7 DAYS
